Preparing Retrospectives with AI

The retrospective is the most important meeting for continuous improvement. AI can significantly speed up preparation and follow-up without replacing the actual reflection.

Generating retro formats: AI can suggest suitable retro formats based on the team's current situation. Is the team newly formed? An icebreaker format. Were there many conflicts? A format for difficult topics. Is everything running smoothly? A format that questions complacency.

Clustering feedback: When the team collects their points on virtual or physical boards, AI can thematically group the contributions and identify patterns that aren't obvious at first glance.

Tracking action items: One of the most common retro problems: Action items are agreed upon and then forgotten. AI can track across multiple sprints which improvements were implemented and which keep being postponed.

Refining user stories: AI can reformulate rough requirements into well-structured user stories with acceptance criteria. This doesn't replace the team discussion but provides a faster starting point.

Identifying dependencies: From a list of user stories, AI can identify potential dependencies and sequences that the team then validates.

Formulating sprint goals: From the planned stories, AI can derive a clear, concise sprint goal that the team then discusses and adapts.

Daily Stand-ups

For distributed or asynchronous teams, AI can support the dailies:

  • Asynchronous updates: Team members post their updates in writing, AI summarizes key points and flags blockers
  • Trend detection: If a team member reports the same blocker for several days, AI can highlight this
  • Summaries for absentees: Anyone who misses a daily gets an AI-generated summary

!Don't replace the daily with AI

The value of the daily lies in personal exchange, not in the status update. AI can make the information more efficient, but the conversation -- the question "How are you?", the quick call for help, the spontaneous suggestion -- that cannot be replaced.

Sprint Review and Demo

The sprint review shows stakeholders what was achieved during the sprint. AI helps with preparation:

  • Review report: Generate a structured report from completed tickets -- what was implemented, what wasn't, why
  • Demo script: Create a narrative thread for the demo that logically connects the most important features
  • Stakeholder-adapted summary: Technical details for developers, business impact for management

Finding the Right Balance

AI can make every agile meeting more efficient. But more efficient doesn't always mean better. Some "inefficiencies" have their value:

  • Moments of silence: When the team thinks before answering
  • Detours in conversation: Sometimes the best ideas come from seemingly irrelevant discussions
  • Emotional moments: Frustration, pride, relief -- they are part of the team process

The art lies in using AI where it removes routine work, and consciously doing without it where human interaction brings the value.
