Creating Documents with AI

Knowledge

Presentations, Reports, and Spreadsheets

Document creation is one of those tasks where AI immediately saves noticeable time. Whether it's a quarterly report, customer presentation, or project documentation -- the patterns are similar, and that's exactly what makes them ideal for AI support.

Presentations with AI

AI supports presentations on multiple levels:

Structure and outline: Derive a logical slide structure from a topic or briefing. This is often the hardest step -- getting from a blank page to an outline.

Content per slide: Generate bullet points, speaker notes, and key messages for each slide. The AI can incorporate different perspectives or simplify complex topics.

Visualization suggestions: AI can suggest appropriate chart types for data points or find metaphors for abstract concepts.

*The briefing-first workflow

Never start with "Create a presentation about X." Start with a briefing: Who is the audience? What should the key message be? What decision should be made at the end? The better the briefing, the better the result.

Practical workflow for presentations:

  1. Write a briefing (goal, audience, key message, time frame)
  2. AI creates an outline with 8-12 slides
  3. You adjust the outline (remove, reorder, add slides)
  4. AI fills each slide with bullet points and speaker notes
  5. You revise content and tone
  6. Apply design in a presentation tool

Reports

Regular reports are predestined for AI support because they follow a fixed structure:

Data-driven reports: AI can translate numbers into understandable statements. Instead of "Revenue Q1: 1.2M EUR (+15%)" it writes: "First quarter revenue rose 15% to 1.2 million euros, exceeding the annual target."

Narrative reports: Project status updates, quarterly reports, or management summaries. AI helps with structuring and formulating, you provide the facts and the assessment.

Standardized reports: Weekly status reports that always follow the same format. Here, a template that the AI fills with current data each week is worthwhile.

Spreadsheets and Data Preparation

AI can assist with spreadsheet work:

  • Create formulas: Describe what you want to calculate, and the AI delivers the appropriate Excel or Google Sheets formula
  • Categorize data: Classify free-text entries into categories
  • Clean data: Find and correct inconsistencies (different spellings, missing values)
  • Pivot analyses: Create meaningful summaries from raw data

Understanding

Creating Documents with AI

Quality Assurance for AI-Generated Documents

AI-generated documents have typical weaknesses you should watch for:

Check facts: AI can invent numbers or use outdated data. Every number, every statistic, and every quote must be verified.

Spot filler phrases: AI tends toward phrases like "in today's fast-paced world" or "it's important to note." These fillers dilute your message -- remove them consistently.

Ensure consistency: When you generate different sections separately, contradictions or repetitions can emerge. Read the entire document as a whole at the end.

!The 'sounds good' trap

AI-generated texts often sound convincing even when they lack substance. Ask yourself for every paragraph: Is there a real statement here? Or does it just sound good? Substance beats eloquence.

Templates as Accelerators

The biggest productivity gain comes not from one-time AI use, but from reusable templates:

  1. Create a prompt that works for a specific document type
  2. Test and refine it over several iterations
  3. Save the template with placeholders for variable data
  4. Use it regularly -- the time savings multiply

Example template for a weekly report: "Create a status report for week [X] in the following format: Summary (3 sentences), Achieved Milestones, Open Blockers, Next Steps. Use these bullet points: [your notes]"

Application

Choose a document that you need to create in the next few days and try this workflow:

  1. Write a briefing: Purpose, target audience, desired structure, key content as bullet points
  2. Have an outline generated and adjust it
  3. Create content per section and immediately revise
  4. Review the entire document: Consistency, facts, filler phrases
  5. Note the time savings: How long did it take vs. estimated time without AI?

Reflection

AI is strongest in document creation as a starting point -- it overcomes the blank page and delivers a solid foundation. The quality comes from human revision: fact-checking, tonality, substance. In the next section, we'll look at how AI can support project management.
