Making Email More Efficient
Email remains the backbone of professional communication. At the same time, it's one of the biggest time sinks. AI can assist in multiple phases:
Reading and processing emails:
- Summarize long emails to the key message
- Prioritize incoming emails by urgency
- Extract action items from email threads
Writing emails:
- Generate first drafts from bullet points
- Adjust tone (formal, friendly, diplomatic)
- Create reply suggestions based on the email thread
Organizing emails:
- Categorization by topic or project
- Automatic forwarding to responsible people
- Reminders for unanswered emails
*The bullet-point-to-email workflow
One of the most productive AI workflows: Write three to five bullet points with the key messages of your email. Have the AI compose a complete, professional text from them. Review, adjust the tone, and send. This easily saves 10-15 minutes on complex emails.
Optimizing Chat Communication
In Slack, Teams, or other chat tools, AI can help with:
- Thread summaries: Reduce long discussions to the essentials
- Writing assistance: Explain complex technical matters in understandable terms
- Translations: Quickly switch between languages in international teams
- Quick replies: Answer routine questions with prepared, context-aware responses
Making Meetings More Productive
Meetings are often the single largest item in the time budget. AI supports in three phases:
Before the meeting:
- Create agenda from previous meeting notes and open tasks
- Compile briefing documents with relevant background information
- Inform participants about preparatory materials
During the meeting:
- Transcription: Convert speech to text (as of: May 2026: tools like Otter.ai, Fireflies, Microsoft Copilot, Granola)
- Real-time summary of the most important points
- Automatically recognize and assign action items
After the meeting:
- Generate meeting minutes from the transcription
- Transfer action items to task management
- Send follow-up emails with summary to participants

Understanding
The Limits of AI Communication
AI can help with formulation, but communication is more than text production:
- Relationship level: AI cannot build genuine rapport. Personal messages, empathy, and nuances are human strengths.
- Context: AI doesn't know the relationship history with a customer. It doesn't know that the recipient is going through a difficult phase.
- Cultural nuances: What is polite in one culture may be inappropriate in another. AI-generated texts can miss the mark here.
!Preserve authenticity
If everyone uses the same AI tools for emails, all emails will soon sound the same. Use AI for the draft, but bring in your own voice. Your colleagues and customers notice the difference.
Data Privacy in Communication AI
Exercise special caution with:
- Confidential information: Don't enter customer data, contract contents, or HR matters into public AI tools
- Meeting transcriptions: Participants must be informed and give consent (GDPR)
- Email analysis: Who has access to AI-generated summaries?
Check for every tool: Is data used for model training? Where is it stored? Is there a Data Processing Agreement (DPA)?
Application
Start with one of these three quick wins:
- Email summary: Copy a long email into an AI tool and have it summarize the three most important points
- Bullet-point-to-email: Formulate your next complex email as bullet points and have the AI write the text
- Meeting follow-up: Use the notes from your last meeting to have a structured protocol created
Choose one of these workflows and test it consistently for one week.
Reflection
AI can make communication faster and more structured, but not more human. You achieve the best results when you use AI for routine work and invest your time in the quality of communication -- in empathy, clarity, and genuine relationship building.
