In everyday work, information accumulates in emails, chat messages, documents, bookmarks, notes, and meetings. Without a system, knowledge gets lost or becomes hard to find. AI can address three central challenges:
- Structuring: Bringing unordered information into a logical system
- Summarizing: Reducing long texts to key statements

A knowledge base is more than a file storage system. It organizes knowledge by topic, connects related information, and makes insights usable for the future. The goal: answering not just "Where did I save that?" but "What do I know about this topic?"

Automatic Categorization: Give the AI a collection of notes or documents and have it suggest categories. AI recognizes thematic patterns and can create a category system that you then customize.
Creating Summaries: Have the AI summarize meeting minutes, articles, or documents and insert them as structured entries in your knowledge base. Format specification: title, key statements (3-5 bullet points), source, date.
Finding Connections: "Which of my existing notes relate to the topic [X]?" -- AI can identify cross-references that you wouldn't have noticed.
Asking Questions About Your Knowledge: When you provide your knowledge base as context, the AI can answer questions about it: "What do I know so far about competitors in market X?" or "What arguments have I collected on topic Y?"
Proven Methods for Knowledge Notes
A good knowledge note is self-explanatory and future-proof. AI can help with creation, but the structure should be consistent:
- Title: Clear and searchable
- Context: Why is this information relevant?
- Key Statements: 3-5 bullet points with the most important insights
