Structuring and Preserving Knowledge

Finding information is only half the work -- storing it so you can retrieve it and use it meaningfully is the other half. AI can help structure, categorize, and make knowledge accessible. From personal notes to team knowledge bases -- the principles are similar.

The Problem: Information Overload

In everyday work, information accumulates in emails, chat messages, documents, bookmarks, notes, and meetings. Without a system, knowledge gets lost or becomes hard to find. AI can address three central challenges:

  1. Structuring: Bringing unordered information into a logical system
  2. Summarizing: Reducing long texts to key statements
  3. Connecting: Establishing relationships between different pieces of information

iKnowledge Base vs. File Storage

A knowledge base is more than a file storage system. It organizes knowledge by topic, connects related information, and makes insights usable for the future. The goal: answering not just "Where did I save that?" but "What do I know about this topic?"

AI-Assisted Knowledge Organization

Automatic Categorization: Give the AI a collection of notes or documents and have it suggest categories. AI recognizes thematic patterns and can create a category system that you then customize.

Creating Summaries: Have the AI summarize meeting minutes, articles, or documents and insert them as structured entries in your knowledge base. Format specification: title, key statements (3-5 bullet points), source, date.

Finding Connections: "Which of my existing notes relate to the topic [X]?" -- AI can identify cross-references that you wouldn't have noticed.

Asking Questions About Your Knowledge: When you provide your knowledge base as context, the AI can answer questions about it: "What do I know so far about competitors in market X?" or "What arguments have I collected on topic Y?"

Proven Methods for Knowledge Notes

A good knowledge note is self-explanatory and future-proof. AI can help with creation, but the structure should be consistent:

  • Title: Clear and searchable
  • Context: Why is this information relevant?
  • Key Statements: 3-5 bullet points with the most important insights
  • Source: Where does the information come from? (URL, document, meeting)
  • Date: When was the information captured?
  • Tags/Categories: Thematic classification for later searching
  • Personal Assessment: What does this mean for me/my project?

The Zettelkasten principle (after Niklas Luhmann) is based on the idea of splitting knowledge into small, interconnected units. Each note contains one thought and references related notes. AI can support this principle:

  • Suggest connections: "Which of my existing notes are related?"
  • Generate synthesis notes: "Summarize all notes on topic [X]"

When you enter confidential or personal information into AI-assisted systems, pay attention to data privacy. Check the terms of service: is your data used for training? Where is it stored? For sensitive data, only use systems with appropriate privacy guarantees.

A knowledge base unfolds its full value over time. Regular maintenance is crucial:

  • Weekly: Add new insights, supplement tags
  • Monthly: Connect orphaned notes, review categories
  • Quarterly: Mark or update outdated information

Application

Start a simple knowledge base on a topic that currently occupies you: collect 5-10 pieces of information (from articles, meetings, or personal insights) and have the AI structure them in the note format. Add your own assessments and create initial connections between entries.
